Workday Student will replace several student related systems such as Gulfline/Banner. Students will use Workday to view information and access personal and contact information, financial aid, student account information, academic records, academic planning, register for classes, apply/view financial aid, view grades, etc.

Workday Student gives us an opportunity to implement a modern platform for all student information that can meet the University's need for flexibility and growth. Workday improves access to information and communication. Students will enjoy mobile capabilities, alerts and reminders, while faculty and staff will have access to dashboards and reporting. This fully integrated technology platform will improve consistency and streamline business processes to better support the educational mission of FGCU. 

The current student system is Banner and this system has become outdated and cannot meet the challenges of responding to today’s student needs.  The new will allow students to access their academic, personal, financial, and employment records in one place - from anywhere and at any time.

Workday was selected based on functionality, usability, total cost of ownership, and ability to meeting FGCU’s business requirements. Because it is a cloud solution, it is easier, quicker, and less costly to implement and operate than traditional enterprise systems. Workday is focused on serving the Higher Education Industry. Broward College, Tallahassee Community College, Florida Atlantic University, Brown, Yale, Georgetown, Cornell, and USC have either implemented Workday or are in the process of implementing Workday. They interact with Workday regularly and have the opportunity to guide the design and availability of functionality required for higher education.

Workday Student provides a streamlined system for students as they engage with FGCU throughout their academic career enabling them to:

• Update personal information
• Add or drop classes
• View grades
• View financial aid and financial information
• Access advising information

Workday Student will take effect in phases, also known as milestones, over the next two years (2021 - 2023). This phased implementation will follow the lifecycle of the student. Here is a summary of the phased rollout:

• Summer 2022: implement foundational academic structure to build academic programs, courses and calendars to prepare for future phases. These changes will primarily be used by central administrative offices like the Registrar’s Office and a small subset of users for NEW students enrolling. 
• Spring 2023: introduce class registration and advising functionality that will replace SAGE as the system of record. Students will begin to have access to Workday Student to view class schedules, register for classes, and utilize other academic advising features for their program of study. In addition to students, faculty and academic services-related staff will begin to use Workday Student.
• Summer 2023: rollout of student financial-related activities. Students will be able to make school payments and create tuition payment plans. Student Financial Services will use Workday Student to manage the overall financial aid lifecycle. 
• Fall 2023: All Workday Student features will go live for faculty, staff and students for the 2021-22 academic year. This will include students’ access to viewing their grades, transcripts, and graduation tasks.

Student will use Workday Student to

• View & manage personal information (accounts, manage payments & request refunds)
• Plan & register for classes (add/drop classes)
• Check grades & request transcripts (track academic progress)

Faculty will use Workday Student to 

• View/find course schedules & information (access course rosters & check enrollment)
• Enter & edit grades 
• View advisee information

Staff will use Workday Student to  

• View advisee & student information
• Support academic planning and view progress 
• Create & view courses and sections 
• Manage academic overrides for students 
• Review student financials 
• View & manage holds on student accounts 

Parents will use Workday Student to  

• View student information (account, courses, & grades)
• Access & pay financials

You will continue to log into Workday as you currently do; Student functions available to you will be added to your Workday Home Page applications. There is no separate Workday Student system; simply ONE centralized Workday system that will expand as features become available.

Photos are maintained in the ID card system; all students have a photo ID that will be integrated with Workday.
